  Room Set-up Recommendations  
     
 

Please have a projector and screen available for all audiences. Not always will David use these tools however he does not always know the approach he will use with the audience until he gets closer to the event date.

 

If the audience is less than 100 people David requests a easel with paper and several new or in great quality pens.

 

Please have at least one podium available for the placement of notes and props.

Supply a lavaliere cordless microphone for larger audiences or taping session.

 



Each presenter must have their own lavaliere microphone

Ceiling speaker systems are normally inappropriate for speaking engagements.  Use your own system or rent a system that will insure quality sound to all attendees.

If recording a session please place microphones in the audience in order to pick up their responses.

Speakers should be placed in the rear, middle and front of the audience.

Studies have shown that a presenter that is illuminated produces a much better session.  Audiences tend to listen better and be less distracted.

 

Do not over seat the room.  It is always better to have every seat taken  then a sea of empty seats.  The seating should match expected attendees or fewer and therefore will create the need for the audience to be seated up front.

 

Place the front row seats no more than six feet away from the stage if possible.

Make sure that members of the audience are notified to turn off all electronic devises that may interfere with the presentation prior to the start of the session.

 

Set the stage in the middle of the longest wall.  Audience attention is better if the room is wider not deep.

 

Make sure to have a dark backdrop especially for video recordings.  The  lighter the backdrop the poorer the speaker will appear.

 

Stagger chairs for visibility thereby clearing the view for the person sitting in the next row.

 

Do not use a center aisle (prime viewing space), rather use two smaller aisles on either side of the center.

 

Use image magnification where appropriate.

When video taping, use BetaSP format rather than SVHS

Depending on the venue, stage platforms may or may not be appropriate. 

 
 

If there are any specific need a detailed list will be forwarded from David depending on the type of presentation and audience.

 
     
  Presentations Requiring a Screen  
     
 

Key elements to consider would be a ceiling height of 18 feet or higher.

Look for low hanging chandeliers that my cause distractions from the audience

If a screen is requested a 9' x 12' video-format, non-glare, matte-white surface is best.

If the screen is on a platform, put side, bottom and top valances on the tables  around the platform

 

Lighting should be unequally distributed for a "screen" presentation.  No lighting should hit the screen.

 

Fluorescent lighting washes out a screen image.  Use stage lighting or incandescent lighting.  A dimmer must be available.

 

Electronic equipment includes an extension cord, power strip and six foot table.  Type of LCD projector will be forwarded.
